Safety Officer Job Description & Covid Protocols

Lynn Valley Lions Club created a new club position in response to Covid 19- the Safety Officer. The Safety Officer (SO) is responsible for creating a Covid safe environment for meetings in the club house as well as service projects and events.

The SO has made adjustments to the Lions Den meeting space with plexiglass, protocols and signage. As there are differing opinions with Covid safety and precautions, the SO has been mandated to make rules and bring any concerns to the president.

The first step in creating a Covid safe environment is knowing your maximum number of people allowed in a space i.e. your den or meeting area, then divide it in half. Even at 50% capacity, you may need to lower your number of people due to space restrictions for tables, high traffic areas, hallways etc. Always err on the side of caution.

When planning to re-open for club meetings, have conversations with your club members regarding who, if any, of the club members are in a safe bubble together. If there are members that are in each other’s bubble you may seat them together with assigned seating.

EXAMPLE: Club meeting

The SO is stationed at the (only) entrance as members arrive to take their temperature and fill out the mandatory sign in form.

  1. SO reminds members without a mask to put theirs on OR offers a disposable mask (club must have disposable masks to offer)
  2. Temperature is taken first as it’s considered an early indicator and most important measurable symptom. Temperature is written on the sign in form
  3. Either the member fills in their own information (with sanitized pen) or the SO will fill in the information (reduces touch points on pens and table)
  4. The SO informs guests of Covid rules (one way direction, mask wearing etc) and points out important areas of the club to minimize wandering
  5. The SO asks for a drink order from the member/ guest (at the door) and points out the member/ guests assigned seat (name cards at each place setting)
  6. The SO relays drink order to the bartender who will then bring the drink to the member/ guests seat and arrange payment on account
  7. The SO then returns to the entrance to repeat these steps with the next member or guest

PROTOCOLS:

  • Masks are mandatory, only to be removed while sitting at assigned seat
  • Members/ guests are not to mingle away from their seat
  • Members/ guests must RSVP to ensure numbers are maintained
  • All members/ guests have assigned seats, personal bubbles are considered and discussed prior to meeting time
  • After the meeting is concluded, members are welcome to talk outside, with masks on and maintaining 6 foot distance
  • Signage is placed throughout meeting area including bathrooms reminding of cleaning, masks, social distancing and health guidelines

SIGNAGE:

Signage is important; to remind, to ask kindly, to inform and even to tease.

There are resources online, a simple google search will result in JPG’s and PDF’s to print and post in your meeting space.

WorkSafeBC also has standard posters as well as the Covid Safety Plan that is specifically designed for workplaces but is helpful when ensuring you are following the guidelines.
